Visual Content Project Process

From briefing to delivery, here’s how we plan, shoot and deliver impactful visual content.

Whether it’s a promotional video, brand shoot, or a suite of images for your marketing — we keep the process clear, collaborative and efficient.

1. Alignment & Kick-Off

Getting clarity on your message, audience and goals.

✅ Fill out our onboarding form
✅ Join a 60–90 min kick-off call to align on creative direction
✅ Define what success looks like (awareness, conversions, internal use, etc)
✅ Confirm usage needs: web, social, events, print, internal
✅ Share any key content (scripts, brand docs, previous videos/images, etc)

🚩 Red flag radar: unclear message, too many objectives, or missing stakeholders — we call this out early to keep the project on track.

🤝 What we need from you: Be ready to share your vision, brand guidelines, and introduce key stakeholders so we can all get on the same page.

2. Research & Planning

We plan before we pick up a camera — every shoot is grounded in purpose. This stage varies in length depending on complexity, but most projects complete it within 1–2 weeks.

✅ Create visual moodboards or style references
✅ Script and/or storyboard (for video)
✅ Shot list planning and scheduling
✅ Location scouting / recce
✅ Call sheets and prep notes
✅ Review and approval before anything is filmed or photographed

🤝 What we need from you: Provide timely feedback on creative concepts and access to any existing brand assets or inspiration you love.

3. Production

Capturing what we need — with clarity, flexibility and minimal disruption. For multi-day shoots, we’ll build in review points and schedule edits as we go.

✅ We arrive prepared with a tight, agreed brief
✅ On-location or studio-based filming/photography
✅ Direction and styling to suit your brand tone
✅ Backup plans in place (weather, people, etc)
✅ You’re welcome to attend or designate a point of contact
✅ Our crew is efficient, respectful, and focused

🤝 What we need from you: Ensure availability for shoots, approve creative drafts promptly, and gather input from your team before sharing.

4. Post‑Production & Delivery

Turning raw material into refined content — and handing it over properly.

✅ Editing, colour grading, and sound design (for video)
✅ Image selection and retouching (for photo)
✅ One round of review and feedback included
✅ Final delivery in formats suitable for your channels (web, social, print, internal)
✅ Option to include thumbnails, cutdowns, captions or resized versions
✅ Files delivered via shared drive with folder structure and naming conventions that make sense

🤝 What we need from you: Confirm receipt, ask questions, and let us know if you want ongoing support or future creative work.

🚨 Need extra formats or versions later? We can handle that through ad hoc or retainer support.

Project Timelines

Most visual content projects run between 3–6 weeks, depending on the scope.

  • Week 1: Kick-off
  • Week 2: Planning
  • Week 3: Shoot
  • Week 4: Post-production first draft
  • Weeks 5-6: Revisions & final delivery

We’ll always agree the timeline in advance and flag anything that could delay delivery (e.g. bad weather, script delays, review bottlenecks).

Ongoing or Multi-Use Content?

We also run content retainer projects where we plan multiple shoots across a quarter or year. If you need regular video/photo updates or a bank of on-brand content, just ask.

I have used Rubber Duckers for many years now and will continue to do so, as the quality of their work, from designing websites, to videography and photography, is simply fantastic.
